Once all players who have been moved down a grade have been spoken too then a brief welcome letter is needed to get the ball rolling;

This can come from the club / TD/ Coach or team manger.
If it came form someone other than coach (President/TD etc) then it could be this

Hi parents and players of the <team>

I am pleased to inform that, following the grading process your child has made the <team> this year. We hope that your child has a great season in this time. The coach is <name> and <he/she> is really looking forward to coaching the <boys/girls>. They will no doubt be in touch soon, and start sending you a few emails about what you can expect from them and what they would like from you guys to make sure the players have a great season.

We acknowledge that grading process has been tough and no doubt wasn’t perfect, but rest assured, all players will be continually monitored throughout the season to make sure that they are sat the right level for them, or to ascertain if they should be moved to a different level, if that is what’s in their best interest.

The training location, days and times are as follows <#######> and we let you know when matches start. Look out for Gala days during pre-season.
I really hope your child settles into their team quickly, and that the coach, parents and the players can work together to make the season a great one.

King Regards

If it’s from the coach then it could be something like this;

Hi everyone,

I firstly want to say congratulations on making the <team>. I am really looking forward to coaching the <boys/girls>. I will send a longer email out soon, about what you can expect from me and what I would like from you guys and the players to make sure the everyone has a great season.
My phone number is 0418 534 287 : If for some reason your child cant make training then make sure you let me know.
<Team Manager’s name > has already put their hand up to be the team manager/coordinator this year which is very much appreciated. She will be in touch no doubt soon too to let you know when the pre season gala days, when the shirt presentations will be and when the league matches start etc.
Lastly, one coach for up to < # and age of players> means players wont always get the individual attention they at training so I would like to enlist help to assist me with running sessions. As we move beyond the first few sessions and weeks I would like to establish who can help and on what nights. I will organize all the coaching content in sessions so there will no need for you to plan anything but I will definitely need help setting up and running pre-planned drills.
OK that’s enough for now. Can’t wait to get going – Let me know asap if you can’t make it.
Cheers, <coach>

Or if from the TM (assuming a TM has been appointed to your team)

Hi all,

I am <insert name> and i will be the Team Manager of the <insert team> this year. I am looking forward to the job and hope the <boys/girls> are ready to go.

<Inset Coaches Name> will be the coach this year, and i am sure <he/she> will be in touch shortly.

There is a just a little house keeping that needs to be done before we can get going.

These are the Current Training Details;

DAYS : <insert>

TIME : <insert>

LOCATION ; <insert>

WHAT TO WEAR : Shin pads must be worn throughout the session

WHAT TO BRING : Both boots and runners

I and <insert coaches name> will be communicating regularly throughout the season and please feel free to contact us if you have any issues. I will soon be directing you towards the club policy on playing time etc, which we obviously will be following, but in a nutshell the philosophy of the club is to ensure all players feel that they are positively contributing to the team and the club, and feel very positive about their experience of the club and the sport. Having said that players and parents have to do their fair share of the work. Players must get to training (on time or early – not late!), always show a positive hard working attitude and always are respectful to team-mates, the parent group, the opponents and the referees.

Thanks for taking the time to read this email. I will no doubt be sending another soon. Please take the time to read and act on it if necessary.

Here’s to a great season

Regards
